AFD #1 – Prudential Committee Meeting

DRAFT Minutes

MEMBERS PRESENT: Al Franklin, Will Wohnus, Allie Lambert, Patrice Pennington

TOWN STAFF PRESENT: Elly Majonen

Meeting called to order at 6:55 pm by Elly Majonen.

  1. Review and approval of minutes.  MOTION: Allie moved to approve the minutes from the 4/1/26 meeting. Will seconded. All approved. Motion passed.
  • Finances –
  • Warrants. $36,453.54 for 4 invoices.

$32,562.54 to TOB, $35 to Patrice Pennington for registering with the Secretary of State, $240 to Phillips, Dunn, Shriver, $3616 to USDA

  • Budget Status Report – will be updated by Elly
  • Balances due for all residences billed $38,249.17.
  • April reconciliation – Details in package.
  • MOTION:  Will moved to approve warrants & financial reports. All approved.
  • MOTION: Ally moved to pay additional invoice to Phillips, Dunn for $30. All approved.

3.      Elly has transferred $15,523 to the maintenance fund as well as

         $500 to the Municipay account.  Will and Al have been added as

         Signers to this account.

4.      Overdue accounts. Will provided Elly with the previous

         Committee’s policy regarding overdue payments.  With Paul’s

         assistance Elly will review.

5. Old business

  1. Al and Allie will be meeting with Dan Tyler, Brattleboro manager and both lawyers on May 18th. Al suggested we try to get a 20 to 30 year contract, the longer the better. Allie said she would email Attorney McGillion to see if he could meet briefly with her and Al before the meeting on the 18th.
  • Municipay  (AutoAgent) – Letter at the bank needs to be picked up by Will and given to Elly. A Municipay bank account will be quickly set up after that.  Al said the bank required a $7,500 deposit (vs $500) if there were 55 or more monthly users. 

Credit card. Elly will follow up with Mary at the bank.

  • Website. Municipay bar will be added the at the top of website when ready. A government email will also be added.
  • Secretary of State registration. Patrice will contact the  Secretary of State’s office to remove previous members’ names.  Elly has been receiving spam mailing regarding our registration and recommended to disregard as registration is complete.

New business: Oath of Allegiance – Everyone needs to sign and have notarized.

Elly will be out on leave for the remainder of May.

Agenda Items for next meeting: Budget, Elly said the town auditor could give us an estimate as to how much an audit would cost.

5. Adjourn. Allie moved to adjourn the meeting. Will seconded. The meeting adjourned at 7:30 pm. All approved.
